What Does a Contract Administrator Do?

A contract administrator manages all the contracts that are made between building contractors, consultants and clients.

Their responsibility is to administer construction contracts, whereby they may act as project managers, engineers, consultants and client representatives. Their specific roles and duties should be agreed by the construction company and the client and may be different for each project.

The scope of a Contract Administrator can include but not limited to are:

  • Ensuring that the works are progressing in accordance with the contract programme and therefore that the completion date is achieved by the parties.
  • Report to the employer on progress of works.
  • Managing the commissioning of works.
  • Supervising and inspecting works.
  • Providing instructions to the contractor.
  • Determining applications for an extension of time.
  • Managing adjustments to the contract price.

  • Chairing Meetings with Sub Contractors to discuss any issues experiencing on site & progress meetings.

  • Preparing and issuing instructions to the contactors
  • Authorising interim payments to the contractor

Who Can be a Contract Administrator?

The client, contractor or an employee of either party can act as contract administrator. However, as the Contract Administrator must remain impartial, practical difficulties that might arise need to be considered by either party if there is a close connection between the administrator and one party.

Yes, it is always advisable to hire a Contract Administrator to manage the contracts between the client and contractor. With a high knowledge of JCT and bespoke contracts, a Contract Administrator will ensure a the contract between the client and contractor protects and serves both parties equally and fairly.

 

When Do You Need a Contract Administrator?

 

A Contract Administrator is not required until just before the build is about to start. However, in the responsibilities of the Contract Administrator will generally have commenced before the building contract comes into existence.
